If you're responsible for buying or specifying professional audio equipment, you've probably noticed that the word "budget" in a room full of salespeople gets you a lot of smiles and very few straight answers. This is the step that trips up most first-time buyers. When you ask a vendor for "a sound system price," they'll often bundle design, equipment, and installation into a single number. That number looks convenient until you try to compare it with a competitor's quote. You don't know how much you're paying for design, how much for gear, or where the markup lives. My rule: pay for a system design separately, or ask vendors to itemize design and equipment. If a vendor refuses to itemize, that's a red flag.
In 2022, I compared three quotes for an office building's AV upgrade. One national integrator quoted a flat $42,000 for "everything." A local design-build firm quoted $28,000 in equipment plus a $6,000 design fee. The national integrator wasn't more expensive because of better gear; the flat number was hiding the design cost. After I got both itemized, the local firm's total was $34,000—$8,000 less, with a design document we actually owned. That "convenient" flat quote cost the national integrator the job.
3. Compare TCO, not sticker price
I do not care what the price tag says. I care what the system costs over three years. Here's the formula I use:
Equipment cost + shipping + installation + training + maintenance + energy draw + resale value = total cost of ownership.
A cheap passive loudspeaker might look great on paper, but the external amplification, cabling, DSP, and rack space can easily push it past a powered equivalent. An Electro-Voice powered subwoofer, for example, often includes the amplifier and protection circuitry in one package. That's a simpler install and fewer failure points. The upfront price may be higher, but the all-in cost is often lower.
For a recent project, I compared two subwoofer options. The powered option was an Electro-Voice powered subwoofer at $2,300. Electro-Voice, like most pro audio manufacturers, has different support tiers for different product lines. Know which tier you're buying. This is the hidden-cost trap. The loudspeakers are the visible part of the system, but the amplification and signal processing can eat 25-30% of your budget if you haven't planned for them. If you're looking at passive Electro-Voice speakers, calculate dollars per channel for amplification and think about spare channels for backup. Active speakers avoid some of this, but they usually need more careful power distribution and signal cabling.
For a stage lyric monitor package, don't forget the cost of monitor wedges, amplifier channels (or powered wedges), EQ, and the inevitable aux sends from the console. These small items add up fast. 6. Budget for installation, commissioning, and training

Final warnings
- Don't trust "the best" without data. Vendors like to claim their loudspeakers are "the loudest" or "the clearest." Under FTC guidelines, claims must be truthful and substantiated. Ask for the spec sheet, the SPL measurements, the dispersion data. If they can't provide it, walk away. At least, that's been my experience with vendors who talk in absolutes.

A Gallo Acoustics A'Diva satellite loudspeaker might be right for a high-end home theater, but it isn't designed for stage monitoring. Similarly, a touring line array vendor may not be the right choice for a fixed architectural install. Know the difference.
- Pricing moves. This was accurate as of mid-2025, and pro audio pricing historically shifts with supply chain changes. Verify current pricing before you sign anything. No source, no number.
- The cheapest quote isn't the cheapest system. That "free setup" offer actually cost us $450 more in hidden fees last year. Itemize everything before you compare.
